1)  All hotel reservations open at 11:00 AM (11:00 h) EST on Monday, February 3.  Emails to supersponsors will go out at 11:00 AM (11:00 h) EST on Friday, January 31.

2)  If you want to upgrade to supersponsor in order to take advantage of the early hotel reservation, you must do so before 9:00 PM (21:00 h) EST on Thursday, January 30.  That's tonight, and that's when the person who handles the upgrades goes to bed.  There will not be time or personnel to process upgrades the morning of the 31st.

3) ALL Anthrocon hotel reservations are made through VisitPittsburgh Housing Services using their online reservation system. DO NOT CALL THE HOTELS DIRECTLY.  They have no information on Anthrocon reservations and will not be able to help you. 

4)  Please do not contact Anthrocon if you have any questions on or technical issues with their online reservation system or about your hotel deposit.  We cannot help you.  Please direct your questions to housing(at)visitpittsburgh.com, or phone them at the number on the Passkey welcome page.  Please be reminded that if you make that call at 11:00 AM on February 3, you might have some trouble getting through.    

5)  The system is programmed to put a 10-minute hold on a room once you select it (similar to the process for purchasing concert tickets).  Do not, under ANY circumstances, use your browser's BACK button during the Passkey session.  That will break the hold on the room and it might be gone by the time you finish entering your credit card information.

6)  Charges to your credit card should show up approximately 2-3 weeks after the reservation is made.

7)  UPDATE!  From VisitPittsburgh Housing Services:  Do not attempt to bypass the WaitRoom screen if it comes up, and DO NOT open multiple browser windows or versions! It will not get you in any faster, and in fact it is likely to confuse the system and may result in an incomplete booking.

8)  UPDATE!  If you put in the same email address for multiple people in the room, then you will get multiple emails.  Calm down - it doesn't mean that you made multiple reservations.  It is simply sending an acknowledgement to each email address on the reservation.

I was trying out the passkey system last year and wondered (well, more like worried) if the hotel/room I selected was "on hold" while I filled out all the information (like names, addresses, email and phone for each guest) or it may be like on eBay where it says on purchasing an item...

      You're almost done! Until you complete checkout, another eBay user may buy this item.

...nice to know I have 10 minutes to fill out everything and complete a reservation. I assume the timer starts once you click the Book tab and you need to complete your booking before the 10 minutes is up.

 

EVERYONE WHO IS BOOKING THE ROOM: Be sure you have all information written down and ready to use for each guest if you want to include them when you book the room. What you will need is...

      First and Last Name
      2014 Anthrocon badge#(if known)
      Mailing Address
      Phone Number
      Email Address

And of course have you payment choice for the booking at hand. Having all of this prepared in advance should help you get the reservation completed before your 10 minutes are up. I assume the field for the Con Badge is still optional for this year, so you should be able to make the reservation if you do not know a number for any of your other guests.

IIRC, you don't HAVE to have the names of the other people in the room. They can be added later. In a time-crunch situation like this, it might be a better idea to get the room locked down and registered... and worry about adding your roommates later. You'll only have five monthz or so...

From what I heard, when a roomie of mines tried to reserve it, it was already sold out. So probably already gone (not a surprise with the limited numbers)

When a hotel agrees to reserve a room block with a convention, those rooms are taken off the market.  No one can book them until either a given time and/or the guest booking one identifies himself as being with the convention.

It has not opened yet, if you did try to reserve already it will most likely show up as booked due to it will be booked for AC. The rooms show up reserved already because AC would be reserving the Block for the convention and other people have probably booked ahead of time with either AC or other events that may be going on in that hotel or elsewhere as AC is not the only event that goes on in pitt durring that weekend. So, until rooms actually open you won't be able to see that they are there.

I think I know why those rooms are sold out. The Pittsburgh Pirates will be playing home games against the Arizona Dimondbacks July 1-3 and the (boo!) Philadelphia Phillies July-4-6. It looks like we'll be having company again.

Last year I took in Pirates-Phillies game before AC started and had a lot of fun. PNC Park is a Beautiful Ballpark with a great view of Pittsburgh!

Really I was told dealers already were able to reserve rooms, and when she tried to get a room at the courtyard it was already sold out.

Dealers had a block at the Courtyard; every room in the Dealer block was taken by a Dealer. There are 200+ Dealers this year, so there is competition.

We generally don't talk much about this, due to worries it will make for Teh Drama. Since it is important to this discussion:

Dealers are given advance booking, similar to Supersponsors. Part of this is the need for Dealers to carry and transport items to and from the dealer's room each day; they have a certain demonstrable use for a closer hotel room. As it's important for Anthrocon to attract quality dealers to satisfy our attendees, we give them that advance booking opportunity. Like the Supersponsors, they have a limited block at the Courtyard: After a certain number of rooms are claimed, there are no more available. Supersponsor and Dealer pools are separate. If either of those blocks don't fill, any excess rooms do go to General Availability.

Thanks for the detailed information.

I do think you should let people know such, in advance even, so they know what they are up for.

There will be Teh Drama anyway, but that way noone can get false hopes or feel bad when they learn afterwards.

It explains of course why the Courtyard ist sold out so fast. When you don't know you'd assume the hotel, while small, has something short of 150 rooms maybe, the vast majority of which are in the AC room block, so you have good chances. While knowing that the room block is only 70 rooms and a big portion of that is reserved for dealers means it's silly to hope for it.

Okay so that's happened then. So each set, like supersponsers, dealers, and normal folks, have their own block? So its still will be possible to get a room at the courtyard then?

In 2013, there were rooms left over from the Dealer and Supersponsor room blocks that went to General Availability.

In 2014, both Dealer and Supersponsor room blocks completely filled, and that was the entirety of Anthrocon's available rooms at the Courtyard; no rooms made it to General Availability.

We're going to mull over 2015's arrangement of room blocks.

Last year I booked my Westin room for 4 and about a month before the convention, called back to confirm my reservation then gave them the details of who else was staying with me.

Avoid using mobile devices.  Last year Passkey had difficulty with some tablets and phones, and by time you realize you have to use a PC, that great room can be gone.

AFAIK, the Courtyard doesn't evrn HAVE suites. The hotels that do are: the Westin. Westin suites MUST be reserved through Uncle Kage. The Doubletree has suites and believe we get a discount.

The Doubletree and the Hampton both have suites that have discounted rates, and these can be reserved online through the Passkey system.  The other hotels may have suites in them but we have not contracted any.  You can certainly get a room at Anthrocon's rate and then contact VisitPittsburgh Housing Services about upgrading to a suite, but you'll likely have to pay the full rate for the suite.

My Friend Big Paw received his Supersponsor email on the Passkey link this morning.

Paw gave me that link and I just tested it by filling out a res.

Picked the Westin from July 1st through the 7th.

Was able to select a Double-Double for the stay for 4 guests.

Went through the Select Hotel, Select Room, Guest Details, Payment Details and Review pages....everything worked just fine!

Did not click on Make Reservation tab to complete, however....already booked a Corner Suite for everyone myself for the same nights.

Supersponsor links should NOT be passed about willy-nilly. Your testing it as staff, once, is acceptable, but if Supersponsors give their links out to non-supersponsors, we will have to take action that no one will be happy about.

I then helped him by filling out the forms from his own PC myself as he watched......we both live in the same house.

 

As Chiaroscuro said, these links are not to be shared with anyone, so please don't take my post as saying you can pass the link around.

Having roomed with someone last year, I forget. Does the Westin accept compound payments at checkout? IE can I use two cards or a combo of cash and cards?

I cannot speak to multiple credit cards, but they will accept cash and credit cards.   But if you're gong to pay this way, have pity on your fellow convention attendees.  Basically, the hotel will accept cash payments whenever there's a person on duty at the desk, and that's a 24/7 position.  Putting the cash in early (like the night before checkout) has advantages.  1) you can check it through the in-house hotel service channels.  They usually have a way to check you current balance right there on the TV in your room.  2)  If the remainder of the bill is low enough and will be charged to a credit card... you can basically just walk out of the hotel in the morning and GO!  No standing in checkout lines.  The hotel will slip a bill under your door during the night before your scheduled checkout.  If that bill is correct and the remainder will be paid by credit card, you can just walk out and go home.

One thing: do not OVERPAY your bill in cash.  If they owe you money, you have to wait in line.  What I do is this: if the bill is 204 a night with taxes and I'll be there 4 nights, I may pay $800 in cash and let the rest float to the credit card.  The hotel is happy: barring rock-start-style room desctruction, they've already got virtually all of their money.  I get only a minimal amount charged to my credit card, $16 plus room service and other relatively small room charges.  Not everyone can afford to do that, I know, but the approach can work if some of the people in the room are paying cash.  They can pay it at the desk AND it will show up on the bill as a payment,

I usually just put myself on the room up until the check in date. When you check in you can add people into the reservation so they can pick up their own key. Most of the hotels don't charge more for 1 or 4 people.

I got my room booked at the Courtyard within the first 10 minutes of the booking open. Just need a couple more roomies. I hope I enjoy the Courtyard, I heard it is much quieter and easier to get to my room.
