Westin Hotel Registration Room Rate Problem

Good afternoon. Got a question for the mods of the board. Today I had called the Westin and went to register my room for the convention. Single king bed from 6/25-6/30. They had informed me that the 25th of June is NOT part of the group block for the discount; and thus, are charging me 325 dollars for the first night. I'm curious as to know why this is; as the hotel assistant that had assisted me had told me that they had nothing in the computer showing that the 25th of June is on the group rate; and I would love to hear an explanation on the matter. Thank you very much. ^_^

The explanation is simple: we have filled the number of rooms that we blocked for Wednesday. The question is whether or not there are any more rooms that can be released to us, since there is a group in the hotel ahead of us who is leaving around that time. I've got a call in to the Westin and will advise.

They said that the room was available. And they were to give it to me at the full rate of 325 dollars a night which i had already selected and reserved. Was unsure if I still have to pay the full 325 or not.

Anthrocon only "blocks" a certain number of rooms on each night. Only those rooms are available at the Anthrocon rate. When those rooms are all sold, the hotel shows "no availability in the Anthrocon room block." The remaining rooms are still available at the normal rate.

When that happens, Anthrocon has to request that more rooms be added to its room block. Usually that takes a single phone call, after which additional rooms are available on that given night for our special rate. There is a challenge, however: the hotel, due to numerous contractual obligations at various levels, is never able to give us every single room in the hotel for our block. They are required by Westin's corporate HQ to retain a small number of rooms at the regular rate. I don't know why; it's some hotel-management thing. Thus, we will reach a point on a given day when we cannot add any more rooms to our block, even though there are still rooms physically available in the hotel. Those are going to sell at the normal rate, no matter what.

At this time, since I only made the phone call 15 minutes ago and left a message, I do not know if we are able to add any more rooms to our block on Wednesday. As soon as I know I will tell you -- promise. There are a few options available if indeed we cannot have any more rooms:

* You can either get the room at the very expensive normal rate.

* You can arrive one day later (on Thursday).

* You can book a room for just Wednesday night at the Omni Hotel nearby.

* You can book an arrival on Thursday and wait and see if there are cancellations that will open up a room on Wednesday night, at which point you can ask to have Wednesday added to your reservation. We have no way of predicting whether or not you will be able to.

Well, bugger. There are indeed no more rooms that we can add to our block on Wednesday. I strongly suggest you reserve a room at the Omni for Wednesday night. It's just two blocks away, and one of the prettiest and most comfortable hotels you have ever laid eyes on.

I know this doesn't solve your immediate issue, but I would like to say that we're sorry that we underestimated the demand for rooms on Wednesday night and that you got affected by this.

We will of course bring this issue up with the Westin and see if we can get more rooms on Wednesday evening for future years.
